Job Description

A well-established charity is seeking a highly organized and proactive individual to join their Charitable Trust Fund as a Senior Administrator. The successful candidate will play a vital role in ensuring the smooth operation of the trust by managing communications, maintaining accurate records, and liaising with trustees, accountants, professionals, and investment managers.

Key Responsibilities:

  • Serve as the primary point of contact for all communications to the trust.
  • Efficiently process incoming correspondence, emails, and inquiries, ensuring timely and appropriate responses.
  • Maintain accurate and up-to-date filing systems for trust-related documents, including application forms, receipts, and reports.
  • Liaise with charities applying for support, ensuring the application process runs smoothly.
  • Prepare detailed fund summaries, including current balances and investment updates.
  • Compile and present a comprehensive list of pending and processed charity applications.
  • Ensure trustees have access to the latest financial reports, application logs, and other relevant documents ahead of meetings.
  • Provide administrative support during and after meetings, including taking minutes if required.
  • Collaborate with accountants at year-end to provide all necessary documentation for audits.
  • Provide ongoing administrative support to the trustees, implementing their decisions and ensuring compliance with the trust's objectives.

  • Excellent verbal and written communication skills; ability to engage professionally with trustees, accountants, charities, and investment managers.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook), online forms, Xero and basic database management.
  • Basic understanding of financial statements, receipts, and investments

  • Trust and Confidentiality

Preferred Experience:

  • Prior administrative experience, preferably in a charitable organization or trust fund environment.
  • Familiarity with the charity application process and regulatory compliance.
  • Experience in working alongside accountants and investment professionals.
