We are seeking a highly organised, proactive, and reliable individual to fill the role of Personal Assistant to the Head of Alfonica. You will play a crucial role in providing administrative, organisational, and communication support. You will act as the primary point of contact, both internally and externally, and assist in managing their daily tasks, schedule, and priorities. The successful candidate will have exceptional communication skills, attention to detail, and the ability to handle sensitive and confidential information with the utmost discretion.

Responsibilities:

  • Calendar Management - Efficiently manage the daily schedule, appointments, and meetings.
    Prioritise and coordinate conflicting commitments, ensuring time is optimised.
  • Communication and Correspondence - Act as the Head of Alfonica’s representative, screening phone calls, emails, and other forms of communication. Draft and edit emails, letters, memos, and other documents as required.
  • Meeting Support - Prepare meeting agendas, briefings, and materials for the Head of Alfonica’s engagements.
    Attend meetings, take minutes, and follow up on action items, ensuring effective communication.
  • Information Management - Maintain a comprehensive filing system, ensuring easy access to relevant documents and information. Conduct research and compile reports as requested.
  • Relationship Management - Build and maintain positive relationships with key stakeholders, clients, and partners.
  • Facilitate effective communication between the Head of Alfonica and various departments within the organisation.
  • Confidentiality - Handle sensitive and confidential information with the utmost discretion and professionalism.

Experience and skills Required

  • Proven experience as a Personal Assistant.
  • Strong organisational and time-management skills, with the ability to multitask effectively.
  • Exceptional communication skills, both written and verbal.
  • Proficiency in using office software, such as Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • High level of adaptability and problem-solving skills to handle unexpected situations.
  • Impeccable attention to detail and a commitment to maintaining accuracy.
  • Ability to work independently and with a team, displaying a proactive and positive attitude.
